A New York live printing budget is built from five lines: crew, press time, garments, setup and teardown, and travel. Travel is the one that doesn't scale with guest count, since we freight the gear across the country from La Habra either way. So a bigger New York event costs less per shirt than a small one.
What your quote includes
| Included | What it means |
|---|---|
| Crew | Trained printers who fly in a day early and keep a New York queue moving. |
| Equipment | Presses, flash dryers, ink and tables, freighted in and built on site. Everything except the room itself. |
| Garments | Blanks in a full XS–4XL curve, sized to the New York headcount so nobody in the queue gets turned away. |
| Setup & teardown | Load-in, station setup, and breakdown around your run-of-show. |
| Every print | The custom printing itself — no per-shirt surprise at the end. |
What moves the number
- Headcount: more guests means more shirts, more blanks and sometimes a second station.
- Hours on site: a two-hour SoHo launch and a three-day Javits show price very differently.
- Garments: a basic tee, a retail-fit shirt and a heavyweight hoodie carry different blank costs.
- Stations: adding a hat bar, embroidery or a second press grows the build.
- Travel: NYC and tri-state events handled end to end, with freight, flights and venue logistics on one line.
Most New York events land at $5K–$15K all-in. Send your date, venue and headcount and you'll have an itemized number within 24 hours.
Every New York quote is itemized, so you see the crew, the presses, the blanks and the travel separately and can move any one of them. If a number has to come down, garments and hours are the two biggest levers. A shorter window at Javits Center or a simpler blank changes the total more than trimming the guest list.
